Terms of service

1. The service

AssessHub is software that helps professional fire risk assessors produce fire risk assessments: structured checklists, capture of photographs and notes, AI-assisted drafting, quality-control checks and report generation. The service is provided on a per-seat subscription basis.

2. Seats, accounts and security

A seat is capacity for one named user. Accounts are personal: credentials must not be shared, and each seat is protected by multi-factor authentication and a limit of approximately two concurrently active devices. The number of active members plus pending invitations may not exceed the subscribed seat quantity.

3. Subscriptions and billing

Subscriptions are billed monthly per seat through Stripe. Adding a seat charges a prorated amount for the current billing period immediately. Removing a seat takes effect at the end of the current billing period; no partial refunds are given. Either party may cancel the subscription, in which case the service continues to the end of the paid period.

4. Customer content and data

The Customer retains all rights in its assessments, photographs, documents and reports. We process this content only to provide the service, in accordance with the Privacy Policy and the Data Processing Agreement. Each organisation’s data is segregated per tenant. We do not train AI models on customer content.

5. AI-assisted features and professional responsibility

AI features draft wording, transcribe audio, analyse photographs and check consistency. They are assistance, not advice: fire risk assessments must be produced and approved by a competent person, and the Customer is solely responsible for the accuracy, completeness and professional adequacy of every report issued. AssessHub is not a fire safety consultancy and does not accept responsibility for the content of assessments.

6. Acceptable use

You agree not to:

• Share credentials or circumvent seat, session or MFA controls.
• Upload unlawful content or content that infringes third-party rights.
• Reverse engineer, resell or provide the service to third parties outside your organisation.
• Use the service to build a competing product.

7. Availability and support

We aim for high availability but the service is provided "as available"; planned maintenance will be notified where practical. Support is provided by email during UK business hours.

8. Liability

Nothing in these terms limits liability that cannot be limited by law. Subject to that, our total liability in any 12-month period is limited to the fees paid by the Customer in that period, and neither party is liable for indirect or consequential loss. The Customer remains responsible for professional indemnity arrangements appropriate to its work.

9. Termination

We may suspend or terminate access for material breach, non-payment or security risk. On termination, the Customer may export its reports and data; customer content is deleted in accordance with the DPA thereafter.

10. General

These terms are governed by the laws of England and Wales and subject to the exclusive jurisdiction of its courts. We may update these terms with reasonable notice to account owners; continued use after the effective date constitutes acceptance.
